Proposal Engineer and Proposal Coordinator
Job responsibilities
- Manage the end-to-end proposal submission process for new projects, including planning, organizing, developing and submitting proposals in response to RFIs, RFPs,/Qs ITTs;
- Establish proposal schedules, assign tasks and ensure all deadlines are met to ensure timely and quality submissions;
- Collaborate with leadership to evaluate potential opportunities and recommend bid/no-bid decisions;
- Review and interpret client requirements, evaluation criteria and submission instructions;
- Conduct market and client research to develop proposals to specific client needs, industry trends and competitive landscape;
- Participate in debriefs with clients to understand the strengths and weaknesses of the proposal and identify areas for improvement;
- Monitor proposals, maintain metrics on win/loss rates and analyze trends for future strategy and process enhancements;
- Continuously review and refine the proposal development process to identify and implement improvements, adopting best practices and lessons learned;
- Collaborate with subject matter experts (SMEs) in technical, legal, HR, finance departments to gather relevant information/documentation necessary to complete proposals;
- Collaborate with internal stakeholders (operations, legal, HR, finance, etc.) to act as the primary point of contact for proposal-related questions and queries in pre and post bid submission stages
- Organize and lead kick off meetings, status updates and review sessions;
- Gather and integrate feedback from subject matter experts (SMEs), senior management and reviewers to refine and strengthen the proposal content;
- Review and ensure that all proposals comply with RFP/RFI/ITT guidelines, company policies and industry standards;
- Maintain organized records of all proposal versions, supporting materials and communication logs for future reference;
- Develop and maintain a library of standard proposal content, templates, and past responses for efficient reuse in future proposals;
- Ensure the implementation of the Company HSE Policy for the prevention of injury, damage or loss to Company personnel and resources;
- Adhere to the risk assessment controls identified;
- Comply with any rules specific to a particular site and any Company wide health, safety or environmental requirements;
- Report any injuries, unsafe acts or conditions to line managers;
- Support HSE Policy to help deliver cultural development and sustained continual improvement in HSE performance;
- Interfere in unsafe act/conditions to stop the jobs.
